Group Retreat Leaders

Welcome! These guidelines are designed to support retreat leaders and participants in creating a harmonious and smooth group experience at Peace Retreat.​

Standard Information

Check-In: 3:00 PM | Check-Out: 11:00 AM

Quiet Hours: 10:00 PM

Health Insurance: Required

​Key Deadlines:

  • Rooming List: 7 days before arrival

  • Shuttle & Dietary Info: 30 days before arrival

  • ​Retreat Cancellations: 180+ days for transfer eligibility

Retreat Host Responsibilities

Contracts & Payments:

  • Signed agreement required.

  • Hosts are responsible for timely payments.

Participant Communication:

  • Hosts manage guest communications pre-arrival.

  • Submit shuttle info & dietary needs at least 30 days prior.

​Room Assignments:

  • Submit final rooming list at least 7 days before arrival.

  • Unassigned rooms released 30 days prior.

  • Groups under 14 may share the property unless exclusivity is arranged.

  • Private room requests may be accommodated for an additional fee.

Excursions & Ceremonies:

  • Must be booked in advance, paid in cash upon arrival.

  • Minimums: 2 guests for local, 4 for full-day excursions.

​Transportation:

  • Two group shuttles typically included.

  • Private/off-schedule shuttles available for a fee.

Early Arrivals/Late Departures:

  • ​Guests may arrive early, leave bags, and use shared spaces (rooms not guaranteed before check-in).

Property Guidelines

Respect and Care

  • Guests responsible for damages 

Quiet Hours: Begin at 10:00 PM

Shared Spaces:

  • Respect communal areas, quiet during classes and spa.

  • No food in rooms; use guest fridge.

  • Do not flush paper or foreign items.

Staff Conduct:

  • Disrespect or abuse toward staff is not tolerated.

Safety:

  • Health insurance required.

  • Safeguard valuables; room safes provided.

Payments and Cancellations

Payments:

  • All payments per contract terms.

  • Retreat-related services must be paid through Peace Retreat.

  • Staff tips are pooled (excluding therapists/drivers).

  • Late payments may cancel the retreat.

Retreat Cancellations

  • Non-refundable.

  • 180+ days prior: payments transferable within 12 months.

Activity Cancellations:

  • Peace Retreat may cancel for safety or operational reasons.

  • Host cancellations within 48 hours are non-refundable.

Communications and Support

  • Planning tools provided.

  • Remote Registration, Shuttle List, and Participant List required.

  • Onsite liaison available.

  • Urgent matters via WhatsApp at [insert number]. We aim to respond promptly during operational hours (6:00 AM – 8:00 PM).

Tipping

Gratuities for Peace Retreat staff are pooled and shared among the team (excluding therapists, drivers, and other service providers, who may be tipped individually). Tipping is appreciated but not required​

Tip for Retreat Leaders:

​We recommend scheduling a short guest orientation upon arrival to review property guidelines and answer questions. This helps foster a respectful and cohesive group experience.​

Spa & Sweatlodge Guidelines

Spa Etiquette:

  • Arrive 15 minutes early.

  • Shower beforehand.

  • Quiet space; devices silenced.

  • Book in advance.

  • Non-staying guests prepay 50%.

Sweatlodge Safety

  • Voluntary participation.

  • Not recommended for pregnancy or heart/blood conditions.

  • Hydrate well.

  • Inform facilitator of health concerns.

By booking or confirming your group retreat, you agree to these guidelines. These policies are in place to support a smooth, respectful, and memorable group experience.
